Crowd briefing

There is a difference between a briefing to a crowd type (‘Crowd’) and a briefing to an artist. It is important to understand this difference to ensure that all briefings reach the recipients you want.

When creating a new briefing template you have to choose between ‘Crowd’ or ‘Artist’. Choose ‘Crowd’ if the recipient belongs to any one of the crowd types that you have created. Choose ‘Artist’ for anyone who is an artist or is with an artist.

When you choose ‘Crowd’ this means the briefing can be sent to everyone within the system that is linked to a crowd type and that is approved within the system. You decide to which crowd types the briefing will be sent.

Create a briefing template

In order to send out a briefing, you will need a briefing template. When you’ve not yet created a briefing template you will need to do this first.

 

Send out briefing

  1. Select the right event from the Launchpad.
  2. Go to ‘Briefings‘.
  3. Click on ‘Add briefing‘. For briefing type, indicate whether the briefing is intended for an artist or for a person (crowd type).
  4. Name the briefing.
  5. Choose the briefing template you want to use for this briefing.
  6. Click on ‘Continue‘.
  7. Select the crowd types you want to receive for this briefing. It’s also possible to specify the segments.
  8. Click on ‘Continue‘.
  9. Select the dates to which this briefing applies. The briefing will be sent to those who are accreditated on the days you’ve selected.
    If you want to send out the briefing to individuals with an event accreditation you need to tick the box.
  10. Click on ‘Continue‘.
  11. Set the sending options. This means that whatever you fill in here will reappear as the sender of the briefing.
  12. Click on ‘Continue‘.
  13. At this step, you are creating the accompanying e-mail for this briefing. You can select a header image, write the actual text and even the text for the button that will be used to open the briefing.
  14. Click on ‘Continue‘.
  15. At ‘Options‘ there are several things to do; firstly you are going to set the date range for sending this briefing. At ‘Advanced settings’ you could add a custom event name and change the language of this briefing, depending on the recipients.
  16. All done? Click ‘Add briefing‘.
  17. You’re now at the briefing checklist. You will need to check every part of the briefing and tick the box when everything is in order.
  18. During the check, it’s possible to edit the ticket visuals.  If you want, you can also see some previews.
  19. Click on ‘Activate briefing’ to .. Well, activate the briefing. ?
    The briefing will be sent within a few minutes to everyone who belongs to the selected crowd types and that are approved. Did you set the sending period to a date range in the future? The briefing is now activated and will start being sent from that date.
